Shared Inbox - Message Routing

Messages can be delivered to your clinic's Shared Inbox via two main mechanisms.  The sender of the message may specifically choose to send their message to your Shared Inbox (your Clinic), or the clinic administrator can configure internal routing rules to send some or all messages to the Shared Inbox.

Senders Choice

When a sender is addressing a message to you, they can select their delivery target in one of two ways.

Clinics and other organizations can be found in the Professional Directory, when a sender searches for and finds your organization they will see something like the following in the search results

If the sender clicks the "Secure-Mail" button near the header above, their message will be addressed to the Shared Inbox of the selected clinic.  Conversely, if they click on the names of one of the listed members lower in the image, they will be able to address a message to the private My Inbox of the user they select.  

If the sender searches for recipients via the compose page address bar, as below, they will see a similar search result and may still choose to address their message to the Organization/Clinic or a person within that location.

**Note: delivery to the private My Inbox of users can be overridden by a clinic administrator (see below).**

 

Administrative Settings for Message Routing

As a clinic administrator, you have final say whether or not messages can be delivered to your staff or clinician's private My Inbox.  In this fashion you can determine whether or not your users are "addressable" or not.  If the administrator sets a user's account to "un-addressable" then any message addressed to that person will instead be routed to the clinic's Shared Inbox.

To access these administrative tools navigate the Settings page and select Clinic Members, you will see a list of your staff and clinicians here.  To make changes to any user click the More button to expand their profile.

Scroll down to the Member's Settings until you see the "Receive Messages" selection boxes as displayed here:

These two check-boxes allow the administrator to "close off" this user's private My Inbox from incoming messages from the two user types in the Brightsquid community (Patients and Professional users).  If the checkbox is cleared (as the patient box is above) then no users of that type (all Patients) will be able to send a message to this user's private inbox.  

If a sender selects an individual who's private inbox is close to them, they will be notified that their message will instead be re-routed to the clinic's Shared Inbox.
